Interlibrary Loan Policy


Fr. Leonard Alvey Library Interlibrary Loan (ILL) privileges are granted to all current Brescia faculty, staff and students.


Locally owned items (items held by OCTC, Kentucky Wesleyan, Owensboro Medical Health System, Daviess County Public Library, and Fr. Leonard Alvey Library) may not be requested for ILL. If a patron does request a locally owned item the patron will receive a campus email notification that the item is available at the owning local library. Brescia faculty, staff, and students have reciprocal borrowing privileges at these libraries and must show a Brescia ID to borrow materials. (At the Daviess County Public Library Brescia students must provide proof of full time enrollment at Brescia in order to borrow materials from the Daviess County Public Library.)


Patrons may submit requests via:

  1. OCLC’s First Search, World Cat database
  2. Form on the web
  3. Paper form located at the circulation desk
  4. Email [email protected]


Patrons will be notified via campus email of the arrival of ILL items.

Patrons must check out returnable ILL items at the Circulation Desk.

Upon checking out ILL items, patrons are required to present a Brescia ID.

Non-returnable items, such as photocopies, will be sent to the patron via campus email.

Non-returnable items are kept by the patron and are not returned.

If the non-returnable item arrives by mail or fax, the non-returnable items will be held at the circulation desk for pick-up and the patron will be notified of arrival by campus email unless other arrangements are made.

Items that are not picked up by the due date will automatically be shipped back to the lending library, regardless of whether the patron still needs them.

If a patron discovers that s/he no longer need an ILL item, s/he should call or email the ILL Manager, Carol Ranburger 270-686-4214, to have the item sent back. However, the patron is responsible for any fees attached to the interlibrary loan item regardless if they pick up the item.

Fr. Leonard Alvey Library ILL cannot guarantee that items requested via ILL will arrive in a timely fashion.

Late arrival of items are usually due to circumstances out of Fr. Leonard Alvey Library ILL control (i.e., courier delay, network failure, lost mail, slow response from lending library, etc.)

If there are problems with ILL requests due to limited ownership of a title, numerous holiday library closings (such as Christmas), or incorrect citation given by patron, Fr. Leonard Alvey Library ILL will notify patron as soon as possible to discuss options.


Overdue notices for interlibrary loan materials will be sent via campus email. Charge for overdue items is $.50 per day.

Patrons who have an ILL returnable item (such as a book) overdue for 30 days or more will have ILL privileges suspended until Item is returned, or replacement fee is paid.

Patrons who have an ILL returnable item overdue for less than 30 days, but have been billed by the lending library, will have privileges suspended until Item is returned, and/or bill is paid.

Any action taken by the lending library will override Fr. Leonard Alvey Library ILL policies (i.e., if a lending library charges a patron for an overdue item, it will stand even if the book is less than 30 days overdue.)

Patrons who fail to return ILL returnable items will be fined a service fee in addition to the lending library’s replacement fee.

All charges acquired by a patron from overdue items from the lending library will be forwarded to that patron’s student account.


If an item is needed beyond initial due date, patrons may request renewals for ILL item(s).

Renewal requests must be made by contacting the ILL Manager, Carol Ranburger, 270-686-4214.

The lending library will determine the renewal status of ILL items, not Fr. Leonard Alvey Library. Patrons will be notified via campus email of renewal status and will be responsible for the prompt return of the item if renewal is denied.


Patrons normally do not pay for ILL services; however, if a title requested by a patron can only be lent by a library that charges a service fee, the request will not be processed without the consent of the patron (who will be responsible for payment).

Fr. Leonard Alvey Library ILL does not pay interlibrary loan fees for patrons.

Fr. Leonard Alvey Library ILL charges $1 for returnable items obtained outside Kentucky. Patron is responsible for this fee regardless of the “Not needed after” date.

More and more E-books are being added to WorldCat. Their document type is: Internet Resources or Computer Files. These books are not available through Interlibrary Loan. You cannot request these books.
